If you are working out how to run a sports camp, treat it as a program, not a longer private lesson. A camp has a promise, multiple dates or blocks, a fixed capacity, a registration record, parent or player instructions, and a plan for changes.
Use the camp section first. Then use the shared launch checklist for a one-day clinic, recurring class, or multi-day sports camp.
Sports camp setup
Define the camp before you publish it
- Outcome: What should the player understand or perform better by the last day?
- Audience: Name the age, experience, and skill requirements.
- Dates: List every date, start time, end time, and arrival window.
- Location: Name the facility, entrance, courts or fields, and pickup point.
- Capacity: Set the maximum from safe coaching coverage and the space available.
- Price: State whether the price covers the whole camp or one day.
- Payment: Define what confirms the place and when any balance is due.
- Policy: Cover cancellations, weather, facility closures, missed days, and refunds.
Plan the operating day
- Build the session blocks, breaks, hydration, check-in, and pickup.
- Decide which coach owns attendance and emergency contacts.
- Collect only the information you genuinely need for the program.
- Send equipment, clothing, food, water, and facility instructions before day one.
- Keep the roster and payment status in one place the staff can use.
For a multi-day camp, publish one complete program with all dates rather than making families register for each day unless drop-in booking is intentionally part of the offer.
Once the offer is defined, use the sports camp registration form template to choose the athlete, guardian, emergency, pickup, policy, and confirmation fields the registration path needs.

Sports camp FAQ
What do I need to run a sports camp?
You need a defined audience and outcome, dates, facility access, safe capacity, staffing, price, payment rule, cancellation and weather policy, registration details, client instructions, and one reliable roster. Local licensing, safeguarding, insurance, and governing-body rules vary, so confirm the requirements that apply to your sport and location.
Should families register once or for each camp day?
If the camp is sold as one progression, one registration covering all dates is simpler for the family and the roster. Offer day-by-day registration only when separate attendance is part of the program design.
How should I set sports camp capacity?
Base capacity on the space, coach-to-player coverage, activity design, age group, and any facility or governing-body limit. Do not begin with the number of places you hope to sell.
How do I manage the camp roster?
Keep registration, payment status, attendance, and the operational notes your staff needs in one system. The programs feature is built for clinics, camps, classes, and their rosters. For repeat sessions, read how to run recurring clinics without rebuilding rosters.
If the offer is a multi-day soccer camp, use the soccer camp registration software checklist to test capacity, payment, roster, reminders, changes, and check-in as one path.
When the program is defined, build the bookable camp in the Launch Room and review the public page before sharing it.
